Executive Assistant

The ideal candidate for the position of Executive Assistant (EA) to Dr. Gordon is an individual who is detail-oriented, hardworking, compassionate, diplomatic, and committed to excellence. Individuals who have previously held the position of EA to Dr. Gordon have hailed from diverse educational and experiential backgrounds, and have continued on from the position to work in competitive settings or pursue graduate level education in disciplines such as management, accounting, psychology, behavioral health, law, and medicine. Candidates for this position should expect to gain invaluable exposure to evidence-based integrative approaches to psychological trauma healing and collaborate with talented CMBM faculty members and professionals from across the U.S. and world.

The position of EA to Dr. Gordon can be extremely demanding. Candidates should be flexible and willing to assume diverse responsibilities as they support Dr. Gordon in the development, cultivation, and implementation of trauma-healing programs. The tasks of the EA may include both the provision of conventional administrative and personal support to Dr. Gordon, such as taking dictations, calendar management, making travel arrangements, assembling background materials for meetings and events, providing front-line reception services, conducting research and preparing reports to support professional writing endeavors, coordinating communications and the flow of information among CMBM’s staff, traveling with Dr. Gordon to workshops, programs, and conferences, and managing daily household tasks. Tasks may also include the navigation and management of special projects, assignments, and relationships that are confidential and sensitive in nature: interacting with Dr. Gordon’s patients, attendees at training events and conferences, and acting as a liaison with donors, partners, other thought leaders in the healthcare environment, and the general public.

 

Qualifications and Competencies

The Executive Assistant must have a bachelor’s degree and/or equivalent experience/training, as well as sound judgment, diplomacy skills, and the ability to take initiative. The Assistant must also have:

  • Proven ability to organize assignments and tasks with competing priorities and deadlines
  • Strong ability to communicate effectively and diplomatically, both verbally and in writing, with the Founder & CEO, managers, staff, faculty, alumni/donors, and interns
  • Demonstrable writing experience and grammatical expertise, along with fast typing skills
  • Understanding or ability to quickly gain understanding of The Center for Mind-Body Medicine (CMBM)’s culture and mission
  • Kindness and generosity of spirit
  • A top notch sense of humor
  • Adaptable, flexible, and excels under pressure
  • Strong service orientation
  • Ability to use high-level discretion and maintain a high level of confidentiality
  • Analytical skills to research and present information and data in formats as appropriate
  • Thorough knowledge of common computer application programs including Microsoft Word and Excel, Gmail, Zoom, Cloud storage, Google Drive, and Google Calendar
  • Ability to research information on the Internet
  • Facility with social media
  • Experience in working with mass media and public relations is highly valued and should be described in the cover letter
  • Ability to set up rooms and AV for meetings, Zoom calls, and in-house meetings, as well as minor IT support and troubleshooting for PC and TV

 

Location, Time, and Travel Requirements

  • Based in Washington, DC with some flexibility to work remotely at times
  • Available to work full-time between the hours of 9-5 EST; flexibility to accommodate occasional scheduling changes outside of those hours, based on meetings or requirements with CMBM personnel who live and work in other time zones
  • Occasional travel may be required

 

Compensation

The salary range for this position is $45-65K; salary will be commensurate with experience within the organization’s salary structure.
